You can be four hundred kilometres away or four thousand, and your house will still be built exactly one day at a time. Insist that the report arrives at a fixed time every working day. A fixed deadline matters more than people expect — it forces the day’s record to be written while the day is still visible, and it gives you a predictable window to raise a question while the work can still be corrected.

Every rejected version shares one property: it cannot be wrong

Read the middle column on its own. “Slab work going on.” “Work is good.” “On track.” “Cement received.” Not one of those statements could ever be contradicted by evidence, because none asserts anything specific enough to be checked. Now read the right-hand column: a quantity, a headcount, a challan number, a grade, slippage stated in days. Every one of them is falsifiable — it can be measured against the site and found wrong. That is the whole conversion this table performs, and it explains the article’s sharpest observation better than the observation explains itself. A month of reports with no issues raised is not a good month because an unfalsifiable report can never contain bad news: it never said anything that reality could contradict. Which is also why the five demands are entirely about who can be wrong and who checks — an independent engineer, a named person, re-measurement before payment.   • A named engineer, not a rotating team. One person accountable for the record, reachable by phone, whose name appears on every report.
  • Independence from the contractor. Whoever writes your report must not be paid by whoever raises your bills. This is the entire principle behind project management consultancy and the reason it exists as a separate role.

Once reports start arriving, the skill is knowing what to look at. Three habits catch most problems.

Compare stock, not just deliveries

Material received minus material consumed should equal material on site. When that arithmetic stops closing, something is being over-ordered, wasted or removed. This is the most useful single check available to an owner who cannot walk the site.

Watch the labour count against the activity

A slab being cast with four men on site is not a slab being cast. Headcount is the fastest early warning that a milestone is about to slip, usually a fortnight before the schedule admits it.

Track silence

A month of reports with no issues raised is not a good month; it is an incomplete record. Real sites generate deviations continually. A report that never contains bad news has stopped being a report.

If You Are Building From Abroad, and what good looks like

For owners handling NRI house construction in Chennai or Coimbatore, two additional things are worth settling early. First, fix the reporting time in Indian Standard Time and work backwards to your own — a report that lands while you are asleep and is read twelve hours later is a report you can no longer act on. Second, separate the authority to approve design changes from the authority to release money, and hold the second one yourself even if you delegate the first.

Also insist that drawings be treated as controlled documents. Ask for the revision number of the drawing being followed for each activity, recorded in the day’s report. Remote builds go wrong more often through an outdated print on site than through any deliberate act. Your architectural design team and your site supervision should be referencing the same revision on the same day, and the report is where you verify that.

Video calls do not replace a written record

A weekly walkthrough on video is useful for reassurance and almost useless as evidence. The camera points where the person holding it chooses, nothing is measured, and nothing survives the call. Use video as a supplement to the written record, never as a substitute — and always take the call at the site’s chosen time rather than a scheduled one, so you are seeing a working day rather than a prepared one.

Today’s entry shows the first-floor slab at sixty-four per cent, fourteen photographs from the same three angles as yesterday, a steel quantity re-measured and corrected before the stage bill was raised, and a seven-day cube result meeting the specified grade. Can I hire independent supervision after construction has already started?

Yes. The usual first step is a condition assessment of the work completed so far, with any existing deviations recorded in writing before supervision takes over from the current stage. Beginning mid-build is common and considerably better than not beginning.

Does a project management consultant replace my contractor?

No. The contractor builds; the consultant verifies the work, the quantities and the materials on your behalf. The two roles are deliberately separate, and most contractors work more carefully once a qualified engineer is checking the measurements.

How is this different from my architect’s site visits?

An architect visits periodically to confirm that what is being built matches the design intent. Daily supervision is a different function — measurement, billing verification and quality testing on every working day. Many homeowners need both, and they are not interchangeable.
